Payback period

In short. The payback period is how long an investment takes to earn back what it cost. Divide the upfront cost by the money it saves or earns each month or year. It is quick to work out and easy to explain, but it ignores everything after the money is back and does not account for risk.

Last checked against its sources on 10 October 2026. How we write these.

If a change costs 3,000 to make and frees time worth a net 380 a month, it pays back in about eight months. After that, the benefit is a gain, as long as it continues.

Its strength is simplicity. For a small business choosing between a few improvements, a short payback is a reasonable sign that a change is low risk and worth trying first.

Its weaknesses are real. It ignores what happens after payback, so a change that pays back slightly slower but keeps delivering for years can look worse than it is. It also treats money next year as worth the same as money today, and it says nothing about how sure the savings are.

Be honest about what goes into the savings figure. Time freed up only becomes money saved if spending actually falls; otherwise it is capacity your team can use elsewhere, which is valuable but different.

Questions people ask

How do you calculate a payback period?

Divide the upfront cost by the net saving or income it produces each period. If the net saving is zero or less, the investment never pays back on those figures.

What is a good payback period?

There is no universal answer. It depends on how long the benefit will last, how certain it is and what else the money could do. Compare options against each other rather than against a fixed rule.
